But knowing which KPIs matter is only the first step. Next comes a bigger question:
Where do you put them all - and how do you make them useful, not just pretty?
That’s exactly what we’re unpacking today: how to build a simple, practical KPI dashboard that helps you keep your finger on the pulse without drowning in noise.
Why Have a KPI Dashboard at All?
A good dashboard isn’t about showcasing dozens of charts or checking a box for reporting. It’s a living tool that keeps your team aligned and your leadership focused.
When done right, your KPI dashboard should:
✅ Show you the health of your business at a glance
✅ Highlight where things are slowing down or breaking
✅ Help your team prioritize every week
Without one? It’s far too easy to fall into reactive mode - chasing fires instead of driving results.
What Should You Track?
Here’s the key: Your dashboard doesn’t need to track everything.
In most scaling teams, I recommend keeping it simple and sticking to three types of KPIs:
1. Execution Speed: How fast is work moving?
2. Quality / Accuracy: How often do tasks/projects get done right the first time?
3. Responsiveness / Engagement: How quickly does your team or business respond - to customers, blockers, or internal requests?
Ask yourself these questions before adding any metric:
- Does this number tell me about team performance or progress?
- Will this help me decide what to do next?
- Do we know how to measure it consistently?
If it’s a “no” on any of these, it probably doesn’t belong on your main dashboard.
How Should It Look?
Keep it visual. Keep it minimal.
You don’t need expensive software, start simple:
- If you like sheets, you can use Google Sheets. If you don't, you can use a KPI Dashboard tool
- 5 - 8 key KPIs max
- Add color-coded status indicators: green (on track), yellow (needs attention), red (off track)
Update it regularly (weekly is ideal), and make it something your team actually looks at together, not just a document that lives in a folder somewhere.
