Truth bomb incoming: If your team is talented but constantly dropping the ball, missing deadlines, or circling back for clarification — it’s probably not a skill problem.
It’s a clarity problem.
But, not to worry, in my work with scaling companies, I see this all the time: Bright, capable people who hesitate to act because they don’t fully understand what they own, how decisions are made, or where their work fits into the bigger picture.
And so, when clarity breaks down, performance does too. After all, even the best people can’t deliver when the structure around them is fuzzy.
Here’s a simple framework to start fixing that this week:
✅ How to Unblock Team Confusion in 3 Steps:

Map out your top 3 recurring workflows:
Start with core functions - it can be client delivery, sales, and internal reporting.
Ask yourself: What are the key steps? Where does work get stuck?

Define clear ownership at every step:
For each part of the process, clarify:
– Who is responsible for doing the work?
– Who signs off or makes the decision?
– Who needs to be informed?
- Turn it into a visual and walk through it with your team:
This doesn’t need to be fancy—a simple flowchart or even a shared whiteboard sketch works. When people can see the system, they’re far more likely to trust it and follow it. Present this to the team on a meeting, encourage them to ask questions and make sure you clarify thier points. You can finish with a simple action plan. By the end of the meeting ensure that everyone is on the same page and that they get the action plan created, as well as the written process.
The result?
